Paste text without unwanted formatting

Copied web text can carry fonts, colors, and links. Use the destination application's formatting controls rather than manually repairing every visual difference.

Check the paste command

Supported Mac apps offer Paste and Match Style, commonly with Option-Shift-Command-V. Availability depends on the application and insertion point, so inspect the Edit menu.

Inspect the resulting text

Removing formatting does not necessarily remove line breaks, spaces, or bullet characters. Verify links and tables. A plain-text editor can help inspect the actual characters when the destination is confusing.

Preserve meaning

Joining every line may destroy paragraphs, while changing spaces can alter code or tables. Treat prose and commands differently.

Read the final insertion

Check the beginning, ending, quotation boundaries, and links. Formatting removal is not removal of private information. When pasting into a shared document, also inspect the content for material that should not be included.

  1. Check the destination’s supported plain-text or matching-style paste option.
  2. Paste and inspect line breaks and spaces.
  3. Verify that links, tables, or code have not changed meaning.

Removing style is different from deleting characters

Text can carry visual information such as heading size, color, and link styling. Matching the destination's style addresses appearance. Removing line breaks or punctuation can instead change the structure of the content.

List items, for example, rely on visible boundaries. Removing every blank line may also merge explanations that should remain separate. After a formatting change, ask both whether the insertion looks appropriate and whether it still means the same thing.

Example: quote a passage in meeting notes

Suppose you want a short, attributed extract from a web explanation in your meeting notes. Select the relevant passage and paste it using the destination's suitable formatting option.

Mark the quotation boundary so the source's words remain distinct from your own explanation. Remove accidentally selected navigation or unrelated headings individually rather than applying a broad cleanup that may affect the passage itself.

A link's visible label and destination can differ. Check that the source remains accessible after the paste, and add an explicit source link if needed. For a table, verify that each value remains associated with its heading. If those relationships break, recreate a simple table or rewrite the information with clear labels.

Changing quotation marks or hyphens for visual consistency can alter code. Identify the kind of content before using the same automatic replacements that might be acceptable in ordinary prose.

Finally, read the insertion with the surrounding text. Check that it does not duplicate a sentence or begin halfway through an explanation. A successful style match should make the document easier to read while preserving the information the copied passage was meant to convey.
